AI Agent
An AI assistant helps employees find and understand approved information while respecting their access rights.
Company knowledge is often spread across portals, product documentation, CMS and CRM systems, helpdesk records, onboarding material and operational procedures. An assistant need not move everything into a new system. It can find relevant passages, compare information, prepare a summary or response draft, and direct the user to the source.
| Element | Responsibility | |---|---| | Application | approved sources, permissions, organisation boundaries and document access | | Retrieval layer | metadata, status and selection of allowed passages | | AI | answer or summary from selected context | | User | assessment before use in an important decision |
The model does not enforce permissions itself. The application selects only approved documents available to the current user, then supplies context needed for the question. Indexing does not guarantee freshness or completeness.
In hypothetical technical support, an assistant may find Symfony Messenger documentation and point to passages relevant to a queue problem. For a sales enquiry about legacy PHP modernisation, it may assemble approved material without inventing a project scope. It can also help a new employee find onboarding material or prepare approved deployment procedures. These are illustrative examples, not GiSoft deployments.
A cited answer is useful only when the passage supports it and the user can access it. Where no approved source answers the question, active documents conflict, a procedure is superseded or metadata is incomplete, the assistant should say so and direct the issue to the document owner. The newest date does not resolve every conflict.
The whole knowledge base need not be sent to an AI provider. The application prepares sources and metadata, retrieves permitted passages, selects context, then checks answer structure and references. A user may ask in one language and receive an answer in another, while retaining the original source reference. Translation needs care for technical, financial and contractual material.
Informational use may only need a reference. Operational, financial, legal or production recommendations require rules and authority appropriate to the company. If the assistant or document system is unavailable, the fallback must suit the process; uninterrupted work cannot be assumed.
Useful measures include time to find information, source usefulness, corrections and rejections, missing documentation, employee feedback and cost per assisted query. The assistant needs maintained sources, document owners, versioning, access rules, monitoring and cost controls.
